Why Customer Experience Matters

Even a technically flawless AI assistant will underperform if customers don't feel heard and valued. A well-designed conversation flow increases the likelihood that customers stay on the call and respond positively.

Greeting Best Practices

The first 5 seconds set the tone for the entire conversation.

"Hi, this is [Assistant Name] from [Company]. Am I speaking with [Customer Name]?" Keep it short and clear.

The customer should understand why they're being called within the first 10 seconds. Ambiguity leads to hang-ups.

A brief "Do you have a moment?" gives the customer a sense of control and reduces friction.

Tip

Use campaign variables to personalize greetings. Including the customer's name or referencing a recent interaction builds an immediate sense of connection.

Natural Conversation Flow

  • Keep responses short: Long, complex sentences don't work well on the phone. Limit each response to 1-2 sentences
  • Balance questions and information: More than 3 consecutive questions feels like an interrogation. Alternate between asking and informing
  • Use transition phrases: Phrases like "I understand, and regarding..." help the conversation flow naturally
  • Handle silence gracefully: When the customer is thinking, the assistant shouldn't jump in immediately. Configure a brief pause tolerance

Adjust the "speaking rate" and "pause duration" parameters in your assistant settings to fine-tune the conversation rhythm.

Handling Objections

How your assistant responds to pushback determines whether the conversation continues or ends.

Listen and Acknowledge

Start with empathy: "I completely understand" or "That's a fair point." Validate the customer's concern before responding.

Respond and Redirect

After acknowledging, give a brief answer and steer the conversation back toward the goal.

Don't Push

If the customer declines twice, change the subject or gracefully end the call. Persistence creates a negative experience.

Handle Unknowns

When the assistant doesn't know the answer, "Let me connect you with our team for that" is always better than guessing.

When to Transfer to a Human

Some situations require a human representative. Human transfer is especially useful when:

  • The customer explicitly asks to speak with a real person
  • A complaint or technical issue escalates beyond the assistant's scope
  • The call exceeds 3 minutes without reaching the intended goal
  • Sensitive topics (medical, legal) require authoritative answers

Transfer logic is configured for you during setup. Use Call Settings > Human Transfer for the destination number, whisper message, and transfer hours. If the transfer behavior itself needs to change, contact support.
