Campaign Strategies
Maximize campaign impact with audience segmentation, timing optimization, multi-channel outreach, and credit management.
Planning Effective Campaigns
A successful campaign reaches the right person, at the right time, through the right channel. This guide walks you through building a campaign strategy systematically.
Audience Segmentation
Sending the same message to everyone is inefficient. Segment your contacts and tailor your approach to each group.
Group contacts by industry, location, previous interaction status, and interest level.
Use separate campaigns per segment and tune call windows, retry settings, and the employee you assign based on how that segment behaves.
Before launching a full campaign, run a pilot with 50-100 contacts from each segment.
Evaluate pilot results and roll out the best-performing configuration to the full segment.
Tip
Use campaign variables to inject per-contact data (name, order number, appointment date) into the conversation. Personalization improves engagement significantly.
Campaign Timing
| Campaign Type | Recommended Time | Why |
|---|---|---|
| B2B sales | Tue - Thu, 10 AM - 12 PM | Decision-makers are busiest on Mondays and Fridays |
| B2C outreach | Weekdays, 2 PM - 5 PM | Near end-of-day hours improve reachability |
| Appointment reminders | 24 hours before | Gives enough time to cancel or reschedule |
| Collections | Weekdays, 10 AM - 3 PM | Business hours yield the highest connection rates |
| Surveys | Saturday, 10 AM - 1 PM | Weekend relaxation can increase willingness to participate |
Follow-Up Strategies
The first call isn't always enough. A structured follow-up process multiplies your conversion rate.
After Missed Calls
Retry unreached contacts within 24-48 hours at a different time of day. Limit to 3 total attempts.
Interested but Undecided
For contacts who showed interest but didn't commit, schedule a follow-up call 3-5 days later.
WhatsApp Reinforcement
After a call, send a WhatsApp message with a summary, brochure, or next steps to reinforce the conversation.
Email Supplement
When detailed information is needed, trigger an automated email after the call with relevant materials.
Multi-Channel Approach (Call + WhatsApp)
Single-channel outreach has its limits. Combining calls and WhatsApp messages significantly increases engagement.
A typical multi-channel flow: Make a call first. If unreached, send a WhatsApp message. If they reply on WhatsApp, schedule a personalized follow-up call.
Example flow:
- Day 1: Outbound call -- connected or not
- Day 1: If unreached, send a WhatsApp template message
- Day 2-3: If WhatsApp reply received, make a personalized follow-up call
- Day 5: If still no response, send a final WhatsApp reminder
Credit Optimization
Make the most of your campaign budget with these strategies:
- Set call duration limits: Define a maximum conversation length to prevent unnecessary credit consumption
- Optimize voicemail settings: Instead of leaving voicemails on every attempt, leave one only on the first try
- Prioritize high-value segments: Allocate resources to segments with the highest conversion probability first
- Keep test campaigns small: Use 50-contact lists when testing new configurations
If your credit balance runs out mid-campaign, ongoing calls will complete but no new calls will be initiated. Ensure sufficient balance before launching.
