Managing Contacts
Contacts are the people your AI assistants call or message. Fonify provides a centralized contact management system where you can import, organize, tag, and track every interaction.
Contact List Overview
Navigate to Contacts from the sidebar to see your full contact database. The list view shows:
- Name and phone number
- Tags and groups assigned to the contact
- Last interaction date and type (call, message)
- Sentiment from the most recent conversation
- Status (active, do-not-call, archived)
Adding Contacts
Manual Entry
From the contacts page, click Add Contact in the top-right corner.
Enter the contact's phone number (required), name, email, company, and any custom fields. Select a country code if the number is not in E.164 format.
Optionally add tags (e.g., "lead", "VIP", "callback") and assign the contact to one or more groups.
Click Save. The contact is immediately available for campaigns and messaging.
Bulk Import
For large lists, use the CSV import feature. See Preparing a Contact List for detailed formatting instructions.
From the contacts page, click Import and select your CSV or Excel file.
Fonify auto-detects columns. Review the mapping, fix any errors, and confirm the import.
Choose an existing group or create a new one to organize the imported contacts.
Tip
When importing, Fonify deduplicates by phone number. If a contact already exists, their record is updated with the new data rather than creating a duplicate.
Groups and Tags
Groups
Groups are collections of contacts used to target campaigns. A contact can belong to multiple groups.
- Create groups from Contacts > Groups > New Group
- Assign contacts to groups during import or from the contact detail page
- Use groups as the audience when creating a campaign
Tags
Tags are flexible labels for categorizing contacts. Unlike groups, tags are lightweight and can be applied in bulk.
- Apply tags manually or automatically based on call outcomes
- Filter your contact list by tag to create targeted views
- Common tags:
lead,customer,callback-requested,not-interested,VIP
Contact Detail Page
Click on any contact to open their detail page. Edit information, view full interaction history, read transcripts, see summaries and sentiment trends, and add team notes.
Searching and Filtering
Use the search bar and filter panel to find contacts by name, phone number, email, or company. Filter by group, tag, status (active, do-not-call, archived), or last interaction date.
Do-Not-Call and Export
Contacts who request not to be called can be marked with Do Not Call status from their detail page. This status is enforced globally across all campaigns.
Do-not-call status cannot be overridden for individual campaigns. Mark contacts carefully.
To export contacts, apply any desired filters and click Export in the top-right corner. Choose CSV or Excel format.
