Team Members & Roles
Invite team members, assign roles, and manage permissions in your Fonify workspace.
Team Members & Roles
Fonify uses role-based access control to manage what each team member can do within your workspace. This guide covers inviting members, assigning roles, and understanding permission levels.
Roles Overview
Every team member has exactly one role per workspace. Roles determine access to features, data, and settings.
| Role | Description |
|---|---|
| Owner | The workspace's recorded owner. Permission-wise identical to Manager; the difference is that the workspace belongs to this account. Each workspace has exactly one owner. |
| Manager | Runs the whole day-to-day operation: member management, subscription, API keys and webhooks, and all delete actions. |
| Member | Can create and edit assistants, contacts, campaigns and documents. Cannot delete them and cannot open the management screens. |
Note
There is no read-only "viewer" role. Anyone added to the workspace has at least Member rights, which means they can edit data. You cannot grant look-but-do-not-touch access.
Ownership can be transferred to another member. When it is, the previous owner becomes a Manager, so they keep working without interruption.
Inviting Team Members
Navigate to Settings > Account & Organization > Members from the sidebar. Click Invite Member.
Provide the email address of the person you want to invite. Choose their role from the dropdown.
Tip
Start with the Member role for most teammates. You can upgrade their permissions later without needing to re-invite.
Click Send Invite. The invitee receives an email with a link to join your workspace.
Pending invitations appear in the team list with a "Pending" badge. You can resend or revoke invitations at any time.
Permission Details
Here is a detailed breakdown of what each role can access:

Playing call recordings and bulk transcript export are not available to any workspace role, including Owner. Recording URLs are never sent to the browser.
Note
Deleting a workspace is not a self-service action. Contact support if you need one removed.
Changing a Member's Role
Go to Settings > Account & Organization > Members and find the member in the list.
Click the three-dot menu next to their name and select Change Role. Choose the new role from the dropdown.
Click Save. The member's permissions update immediately.
Downgrading a member's role takes effect immediately. Any actions they are currently performing that require higher permissions will be interrupted.
Removing a Team Member
To remove someone from your workspace:
- Go to Settings > Account & Organization > Members
- Click the three-dot menu next to the member's name
- Select Remove from Workspace
- Confirm the action
The removed member loses access to all workspace data immediately. Their past activity (campaign changes, notes) remains in the audit log.
Note
Removing a member does not delete their Fonify account. They can still access other workspaces they belong to.
